Explain the first charge before booking
Tell customers whether they are paying a visit fee, deposit, estimate, or full amount. Show what it covers and what could require a final quote.
Keep the chosen method with the visit
The office and customer should be able to see whether card, PayPal, wallet credit, or approved cash collection was selected. Do not make teams reconstruct that choice after the work is complete.
Ask for approval while the context is fresh
When the diagnosis changes the amount, send a clear final quote while the technician and customer still understand the work. Pause the final charge until the customer approves.
Make the payment state unmistakable
Use plain states such as pending, authorized, paid, failed, refunded, and cancelled. A completed job and a paid job are different facts and should never be confused.
Deliver the record immediately
After payment, provide the service summary, amount, method, receipt, and any refund information in the same customer history. Clear records prevent unnecessary payment questions later.
